Annual General Meeting
Notice is hereby given of the Annual General Meeting of Vajrayana Institute Incorporated.
Date: Thursday 27th June 2019

Venue: Vajrayana Institute Inc., 9 Victoria Square, Ashfield, NSW
The business of this annual general meeting is:
- to receive from the Committee reports on the activities of the Centre during the last preceding financial year (ending 31st December 2018),
- to elect ordinary members (3) and office bearers (Secretary and Treasurer) of the Committee, other than those appointed by FPMT Inc (Centre Director and Spiritual Program Coordinator),
- to receive and consider the any statement or report required to be submitted to members under the Act.
Following the Annual General Meeting, refreshments will be served. For catering purposes, please advise the office if you are planning to attend the AGM.
To nominate as an ordinary member or office bearer of the committee, complete the attached Nomination Form and lodge at Vajrayana Institute Inc office at least one week prior to the AGM (ie on or before 7.00 PM Thursday 20th June 2019.).
All votes to elect ordinary members and office bearers of the committee must be given personally or by proxy.
Please note that no attending member may hold more than 5 proxies. If you are unable to attend the AGM but are eligible to appoint a proxy on your behalf, complete the Proxy Form and lodge at Vajrayana Institute Inc office on or before 7.00 PM Wednesday 26th June 2019.
If you don’t know who to appoint as a proxy on your behalf, please send the signed proxy form back and we will give your proxy vote to the Chairperson of the AGM, Tony Steel, or to another member attending the meeting. In this instance, please do not write in the space ‘full name of your proxy’. Proxies will be appointed from attending members, to ensure no attending member holds more than 5 proxies.
If you would like to appoint a particular member, please indicate this on the form (and fill in their name). However please request this of them beforehand, so they know they hold no more than 5 proxies.
NOTE: Only financial members of Vajrayana Institute may vote, appoint, or be appointed as proxy at the AGM. If you are unsure of your membership status please contact the office.

Information for Prospective Committee Members
Any Committee member, other than the Spiritual Program Coordinator (SPC), must be a member of the Centre, and have a commitment to the statement of objects of the Centre.
The Executive Committee
The controlling body of the Centre is to be called the executive committee of the Centre and, subject to the Act, the Regulation and these rules:
- shall control and manage the affairs of the Centre in accordance with the objects of the Centre, and in particular, in accordance with the spiritual teachings and guidance of the Mahayana Buddhist tradition, as enumerated by Lama Tsong Khapa of Tibet and as taught by the Spiritual Director.
- may exercise all such functions as may be exercised by the Centre, other than those functions that are required in the following rules to be exercised by a general meeting of members of the Centre, or by FPMT Inc; and
- subject to (1) and (2) above, has power to perform all such acts and do all such things as appear to the Committee to be necessary or desirable for the proper management of the affairs of the Centre.
The Committee must meet at least 4 times in each period of 12 months.
The Secretary
It is the duty of the secretary to keep minutes of:
- all appointments of office-bearers and members of the Committee,
- the names of members of the Committee present at a Committee meeting or a general meeting, and
- all proceedings at Committee meetings and general meetings.
It is the duty of the treasurer of the Centre to ensure:
- that all money due to the Centre is collected and received and that all payments authorised by the Centre are made,
- that correct books and accounts are kept showing the financial affairs of the Centre, including full details of all receipts and expenditure connected with the activities of the Centre.
